Give Your AI Setup a Six-Month Checkup
Twice a year, give your AI setup a checkup. Fifteen minutes, three questions:
- What are we actually using? List the AI tools with real weekly users. Anything with no users gets cancelled — unused tools are just risk and subscription fees sitting quietly.
- What surprised us? Check your log (you have one, right?). Any output that was wrong, any data that went somewhere unexpected, any "huh, I didn't know it did that" moment. Each surprise becomes a rule or a narrower job for the tool.
- What's changed? New team members who need training, new features your vendor added without telling you, new kinds of data flowing through the tools. Update the owner list and the rules to match reality.
That's the whole checkup. It works because AI setups drift — tools get added casually, people leave, vendors change terms. Without a regular look, you end up with a stack nobody fully understands, which is exactly when mistakes happen.
Put it on the calendar now: every six months, fifteen minutes. The businesses that review their tools are the ones that keep benefiting from them. The ones that don't are the ones that eventually get surprised.
